Job Description

The Assistant Director oversees one or more teams within the Admissions Processing department. This position enhances the applicant experience by overseeing processes that provide a central point of contact for applicants seeking assistance with application completion while being a content and knowledge expert to aid in navigating the intricacies associated with the Admissions Processing area assigned.

Supervision, Leadership & Training - 40%

• Utilizes performance management and leadership to maximize staff performance, development and overall department morale
• Provides leadership and vision to the Admissions Evaluations Team for graduate and undergraduate applicants
• Creates, administers and evaluates processes and workflows related to admissions evaluation
• Provides direction and leadership in decisions affecting student admissions
• Oversees and manages daily admissions workflow including Salesforce case management, completed application evaluations and the execution of strategic initiatives
• Creates and conducts training programs for relevant staff on changes related to new and existing processes
• Serves a member of UAP Leadership Team and coordinates with peers on cross-functional operational processes, future development opportunities and implementation
• Manages the implementation of new process while coordinating with key stakeholders in ITS and Enrollment Services Business Analyst (ESBA) Team for technology specifications
• Hires, trains, supervises, and evaluates up to 8 full-time members on the Admissions Evaluation; coordinates on-going training to include skill-building and resource knowledge
• Directs the work of the Admissions team to ensure that efficient, scalable, and best-practice service standards are met new NAU applicants
• Builds and fosters a team culture that encourages the exchange of creative ideas with a focus on collaboration, problem solving, end-user satisfaction, and professional development

Customer Service - 20%

• Serves as liaison to faculty, staff, service units and other departments; identify opportunities to collaborate and improve communication whenever possible
• Partners with external and internal stakeholder partners to identify student and process needs based on niche populations. These include but are not limited to: University Admissions, Enrollment and Student Services, 2NAU partners and Advising
• Provides stakeholders continual education around recruitment and process functions, standards and procedures.
• Advises relevant staff of decisions for elevated admissions review
• Represents Admissions Processing with departments across campus, as well as within Enrollment Management, by collaborating and developing effective and productive working partnerships
• Serve as a liaison between recruitment teams and the Admissions processing team:

• Trains on new updates to processes and admission impacts
• Troubleshoots technical issues related to tools and systems
• Assists with resolving elevated student issues
• Communicates with partners regarding admissions procedures, timelines, and processes that impact the student experience

Adminissions Processing - 15%

• Reviews admissions applications against the Arizona Board of Regents (ABOR) admission requirements
• Provides guidance and consistency as to how admissions processes impact the department and the overall University operation
• Manages and advises staff on all relevant changes and updates to standard ABOR course usage and approvals
• Evaluates processes/procedures regularly; proposes, develops, documents, and implements processes/procedures to ensure continuous improvements as to how service is provided as well as gather, organize, and store information needed to assist constituents more efficiently and completely while keeping in alignment with the NAU mission as well as adhering to efficiency principles
• Manage a team to conduct applicant admission evaluations and transfer credit posting/articulation in accordance with NAU/ABOR policy. Understand and apply knowledge to these actions:

• Ensures training documents and policies and procedures are kept current and easily accessible by staff; collaborates with other functional areas as necessary to ensure documentation is current and applicable
• Accurately evaluates and certifies complex credentials and transcripts; processes credentials based on established guidelines and policies; ensures authenticity of documents
• Processes all incoming student transcripts and military related documents
• Reviews transcripts received; researches various academic systems to determine admissibility, transferability and equivalencies of credits
• Enters records, pre-coded or open format data from source documents into the computer, verifying for accuracy
• Updates records to include deleting, changing or adding data
• Interprets university policies and recommends changes to policies and/or procedures
• Works with student to verify residency status, admission status, or status of transfer credit
• Reviews additional academic data for the purpose of awarding of scholarships
• Upholds university policies and recommends changes for process improvement
• Maintains and updates articulation data base related to military classes (ACE) and their associated NAU equivalencies.

Programming - 10%

• Develops processes related to specific populations to enhance the service model where necessary for the purposes of increased yield
• In coordination with other admissions stakeholders, develops and maintains contact management strategy to ensure proper documentation and transcripts are being received and student support being offered in their retrieval.

Data Analysis & Testing - 10%

• Analyzes and provides reports regarding admissions decisions as related to ABOR and the NAU strategic plan
• Conducts research to propose, coordinate, organize, and initiate initiatives within Enrollment Management
• Identifies and allocates resources to respond to end-user questions, issues, and service opportunities; coordinates user support for questions or issues related application processing, admissions decisions and standards, matriculation and term activation

Other - 5%

• Other duties as assigned.

Minimum Qualifications

• Undergraduate bachelor's degree.
• 2 - 4 years of management or supervisory experience.
• 3 - 5 years of relevant experience.
• Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.

• Knowledge of NAU academic programs and student support services.
• Knowledge of the student lifecycle and academic timelines.
• Knowledge of Family Educational Rights and Privacy Act (FERPA).
• Knowledge of government rules, regulations, guidelines and procedures related to financial aid.
• Knowledge of OnBase, Salesforce CRM, PeopleSoft Student Information System, Business Objects and Enterprise Reporting tools.

Salary

Anticipated salary range is $77,871 - $88,000. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.
